Hybrid Work Policy

A hybrid work policy defines how employees split the week between the office and home — the minimum office days, team anchor days, desk booking and how hybrid attendance is tracked. HR issues it when a company settles on a fixed office-plus-remote rhythm rather than ad-hoc WFH.

1. Purpose

[Company Name] follows a hybrid model that combines in-person collaboration with focused remote work. This policy sets a clear, common rhythm so teams get the benefit of both.

2. Scope

It applies to all employees in hybrid-eligible roles at [Work Location]. Roles marked 'on-site' (facilities, reception, labs, plant) and roles designated 'remote' are excluded.

3. Definitions

  • Office day: a day on which the employee works at the assigned office for at least [Number] hours.
  • Anchor day: a day fixed by the team when all members attend the office.
  • Team charter: a short record of a team's hybrid pattern approved by the Department Head.

4. Policy

  1. Employees work from the office at least [Number] days per week, including the team's anchor day(s).
  2. Remaining days may be worked remotely from the employee's registered address in India.
  3. Office days cannot be carried forward to another week, but may be swapped within the same week with manager approval.
  4. Leave days, official travel and holidays count towards the weekly requirement on a pro-rata basis.
  5. Seats are shared; employees book a desk through [Booking Tool] and follow clean-desk rules.
  6. Managers may require additional office days for onboarding, audits, client visits or critical deliveries.

5. Procedure

  1. Each Department Head submits a team charter to HR within [Number] days of this policy taking effect.
  2. Office attendance is captured through [access card / HRMS check-in].
  3. HR shares monthly hybrid compliance reports with managers.
  4. Exception requests (medical, caregiving, disability) are submitted to HR with supporting information and are reviewed confidentially.

6. Responsibilities

  • Employees: follow the team charter, book desks and keep remote days productive and secure.
  • Managers: plan collaborative work for anchor days and apply the policy consistently.
  • Facilities: maintain seating, booking tools and meeting rooms.
  • HR: track compliance, manage exceptions and review the model.

7. Non-compliance

Where an employee falls short of the minimum office days for [Number] consecutive months without approved reason, the manager will first discuss it; continued non-compliance may lead to withdrawal of remote days or action under the Disciplinary Policy.

8. Review & Approval

HR will review the hybrid model every [Number] months using attendance, productivity and engagement data.

How to customise this template

  1. 1Decide the minimum office days and whether they are fixed or flexible
  2. 2Ask each department to fill the team charter table with its anchor days
  3. 3Insert your desk-booking tool and locker rules
  4. 4Link the remote-day rules to your WFH and IT security policies
  5. 5Set how many months of non-compliance trigger a review

HR tips

  • Make office days purposeful — plan meetings, reviews and training for anchor days
  • Measure compliance over a month, not a single week, to allow for travel and leave
  • Apply the policy equally to managers; leaders who stay home undermine it
  • Keep a written exception register for medical or caregiving cases

This hybrid work policy is a template. Check that it is consistent with your appointment letters and any standing orders, and seek legal advice before using hybrid compliance in disciplinary decisions.

Frequently asked questions

How many office days are common in a hybrid model?+

Indian companies commonly ask for two to three office days per week, but there is no fixed rule. Choose based on collaboration needs and seat capacity.

What is an anchor day?+

An anchor day is a weekday on which an entire team is expected in the office together, so collaborative work and meetings happen face to face.

Can an employee be fully remote under a hybrid policy?+

Only through the exceptions process for documented reasons, for a limited period. Permanent remote status should be handled under a separate remote work policy.
