1. Purpose
[Company Name] is an office-first organisation. This policy allows employees to work from their residence on an occasional basis while ensuring business continuity, availability and protection of company information.
2. Scope
It applies to confirmed employees at [Work Location] whose work can be done remotely. Roles requiring physical presence, such as reception, facilities, plant and field service, are excluded. This policy does not cover permanent remote or hybrid arrangements, which are governed by separate policies.
3. Definitions
- WFH day: an approved working day on which the employee works from their registered residential address.
- Core hours: [Start Time] to [End Time], during which the employee must be reachable.
- Company-declared WFH: a day on which management directs employees to work from home due to an emergency.
4. Policy
- Employees may avail up to [Number] WFH days per month after completing [Number] months of service. Unused days lapse.
- WFH is a privilege granted on business need and not an entitlement.
- The employee must be logged in, reachable on phone and chat, and attend scheduled calls during core hours.
- Work must be done from the registered address within India unless approved otherwise in writing.
- WFH may not be combined with leave to extend holidays without the Reporting Manager's approval.
- During company-declared WFH days, all eligible employees work from home and the cap does not apply.
5. Procedure
- Apply in [HRMS / email] at least [Number] working day(s) in advance; for emergencies, inform the manager before core hours begin.
- The Reporting Manager approves or declines with reasons.
- At the end of the day, share a brief update of work completed if requested.
- Attendance is marked 'WFH' automatically on approval.
6. Responsibilities
- Employee: maintain a quiet workspace, stable internet, and follow data security rules — lock the screen, do not let family members use the company laptop, and avoid public Wi-Fi without VPN.
- Reporting Manager: approve fairly, monitor deliverables and track usage.
- HR: monitor monthly WFH data and address misuse.
- IT: provide VPN access and remote support.
7. Non-compliance
Being unreachable during core hours without reason, working from an unapproved location or breaching data security may lead to withdrawal of WFH privileges and, for repeated or serious cases, action under the Disciplinary Policy.
8. Review & Approval
HR will review this policy annually based on usage data and feedback.
