1. Purpose

This policy sets the rules for company-provided mobile phones and SIMs and for personal phones used at work at [Company Name], so that communication is effective, costs are controlled, data is protected and safety is maintained.

2. Scope

It applies to all employees, contractors and visitors at company premises, and to any phone used to access company email, apps or data.

3. Definitions

  • Company phone: a handset and/or SIM owned or paid for by the company.
  • BYOD: a personal device used to access company systems.
  • Restricted zone: an area where phones are not allowed, such as [Production Floor / Lab / Server Room].

4. Policy

  1. Company phones are issued to roles listed in Annexure A. The monthly plan limit is ₹[Amount]; usage above the limit for personal purposes is recovered with the employee's consent.
  2. Handsets are replaced every [Number] years or when beyond repair; loss through negligence may be charged at depreciated value.
  3. Company numbers remain company property and are transferred to the successor at exit.
  4. Personal phones may access company email only through [Approved App/MDM], with a screen lock and current software.
  5. IT may remotely wipe the company work profile if a device is lost or the employee leaves. Personal data will not be accessed.
  6. Phones must be on silent in meetings and kept outside restricted zones.
  7. No handheld phone use while driving on company work; use hands-free only when safe and lawful.
  8. Photographs or recordings of company premises, documents or customers are not allowed without permission.

5. Procedure

  1. Manager requests a company phone through [IT Helpdesk].
  2. Employee signs the asset acknowledgement on receipt.
  3. Loss or theft is reported to IT within [Number] hours and an FIR/complaint copy is provided where needed.
  4. At exit, the handset and SIM are returned and cleared in the exit checklist.

6. Responsibilities

  • Employees: use phones responsibly, protect data, return assets.
  • IT: issue, configure and secure devices.
  • Admin/Finance: manage plans and bills.
  • Managers: enforce restricted-zone rules.

7. Non-compliance

Misuse of a company phone, sharing confidential information through unapproved apps or using phones in restricted zones may lead to withdrawal of the device and action under the Disciplinary Policy.

8. Review & Approval

IT and Admin will review plan limits and security controls annually.
