Employee Code Register

An employee code register is a running log of every employee ID the company has issued, showing who holds it, when it was allotted and when it was deactivated. It prevents duplicate or recycled codes and links each code to its allocation form.

Frequently asked questions

Why keep a separate employee code register?+

It is the control list that proves each code was issued once, to one person, with approval. Payroll ghost-employee checks rely on it.

Should deactivated codes ever be reused?+

No. Reusing codes mixes two people's histories and causes PF, payroll and audit errors.

What should happen to the code when an employee leaves?+

Mark it deactivated with the last working day, confirm system access is removed, and keep the row for history.
