Employee Master Data Sheet

An employee master data sheet is a single tabular sheet that lists every current employee with their key employment attributes. HR uses it as the reference source for payroll, headcount reports and statutory filings, and updates it whenever an employee joins, moves or leaves.

Frequently asked questions

What is employee master data?+

It is the core set of facts about each employee, such as ID, name, department, designation, joining date and status, that other HR processes depend on.

Should salary be part of the master data sheet?+

Keep CTC in a separate payroll file with tighter access. The master sheet is viewed by more people and should hold only what they need.

How often should the master data sheet be updated?+

Update it on every joining, transfer, promotion or exit, and reconcile it fully with payroll at least once a month.
