What this template includes

  • Designation, department and plant/HQ location so the candidate knows if the role is shop-floor or field
  • CTC breakup with PF, ESI where applicable and gratuity mentioned transparently
  • GMP, SOP and data-integrity commitment, since regulator audits depend on documented practice
  • Confidentiality of formulations, master formula records and clinical or stability data
  • Adverse event and product complaint reporting duty within company timelines
  • Field-force terms: headquarters, daily allowance and travel reimbursement as per policy
  • Pre-joining conditions such as medical fitness for production areas and document verification

When to use it

  • Hiring QA, QC, production or regulatory affairs staff at a GMP-licensed plant
  • Making an offer to a medical representative or area sales manager in the field force
  • Recruiting R&D chemists or formulation scientists who will access confidential development data
  • Offering roles in pharmacovigilance or medical affairs teams
  • Converting a trainee chemist into a confirmed offer after a plant trial

How to customise this template

  1. 1Replace the plant or headquarters name and add the licensed site address under Work Location
  2. 2Delete the field-force clause for plant roles, or the gowning/medical clause for sales roles
  3. 3Insert the actual CTC table from your payroll structure and check PF wage ceiling treatment
  4. 4Name the specific SOP training the candidate must complete in the first week
  5. 5Attach your pharmacovigilance reporting contact or mailbox so the duty is actionable

HR tips

  • Do not promise a designation that requires a qualified-person approval under your manufacturing licence until it is confirmed
  • Keep incentive schemes for MRs in a separate annexure so the offer letter does not need reissuing every year
  • Ask for degree and registration copies before joining for roles named on the drug licence
  • Make the confidentiality clause survive separation, as formulation know-how stays valuable for years

This offer letter is a starting point. Review it against applicable labour laws, your state's Shops and Establishments or factory rules, your standing orders and drug licence obligations, and with a legal adviser where needed.

Frequently asked questions

What should a pharma offer letter include that other offer letters do not?+

It should commit the candidate to GMP and SOP compliance, protect formulation and clinical data, and require reporting of adverse events or product complaints. Field roles also need headquarters and travel allowance terms.

Is a medical representative offer letter different from a plant offer letter?+

Yes. An MR letter covers headquarters, territory, daily allowance, sales targets and incentives, while a plant letter covers shifts, gowning, medical fitness and production SOPs. This template includes both clauses so you can delete the one that does not apply.

Can a pharma company ask a candidate to sign an NDA with the offer?+

Yes, a separate confidentiality agreement is common for R&D, QA and regulatory roles. The offer letter can state that joining is subject to signing it.
